# Privacy notice

## Who we are

MTD Match is a trading name of [company name] Ltd, a company registered in England and Wales (company no. [company number]), registered office [registered address]. We are registered with the Information Commissioner's Office (ICO) under number [ICO number]. We are the data controller for the information you give us on this website.

Questions or requests about your data: [privacy@mtdmatch.uk](mailto:privacy@mtdmatch.uk).

## If you ask to be matched with an accountant

**What we collect:** your first name, postcode, email address and phone number; your answers about how you earn your income, your rough income band and how you handle your tax today; the trade guide you came from (if any); the wording and time of the consent you gave; and basic campaign information such as the advert or website that sent you to us.

**Why:** to introduce you to up to 3 UK accountancy practices on our panel who can contact you by phone or email about your enquiry, and to check that each enquiry is genuine and not a duplicate.

**Lawful basis:** your consent, which you give by ticking the box on the form. You can withdraw it at any time by emailing [privacy@mtdmatch.uk](mailto:privacy@mtdmatch.uk). Withdrawing stops us sharing your details from then on; please also tell any practice that has already contacted you.

**How we make money:** the practices pay us a fee for each introduction. That is how the service stays free for you. We only share your details with the practices described above, and never with more than 3.

## If you request our free guide

We collect your first name, email address, how you earn your income and a rough income band. We use them to send you the guide and to understand who our guide helps. Lawful basis: our legitimate interests in providing what you asked for.

If you tick the box, we will also email you MTD deadline reminders, tips and occasional offers about MTD-related services such as accounting and software. Lawful basis: your consent, which is optional and not a condition of getting the guide. These emails come from MTD Match – we do not pass your email to the companies whose services we mention. Every email has an unsubscribe link, or you can email [privacy@mtdmatch.uk](mailto:privacy@mtdmatch.uk). We keep a record of when and how you consented.

Guide signups are **never shared with accountants**.

## If you are an accountant joining our panel

We collect your practice name, your name, work email and phone, professional body, membership details and the areas and client types you want. We use them to verify your practice, deliver leads and manage your account. Lawful basis: taking steps to enter into, and performing, our contract with you (see our [lead terms](https://mtdmatch.uk/lead-terms.html)), and our legitimate interest in checking that practices on our panel are properly qualified and supervised.

## Our accountant directory

**Firms listed:** the directory shows the name, company number, registered office town and outcode, and business type of active accounting, bookkeeping and tax companies, taken from Companies House’s public data (Open Government Licence). We don’t show addresses, directors or phone numbers unless a firm adds them. Some company names include a person’s name. Lawful basis: our legitimate interest in helping people find an accountant, using information that is already public. A firm can ask us to correct or remove its listing at any time on our [claim your listing](https://mtdmatch.uk/claim-listing.html) page or by emailing [privacy@mtdmatch.uk](mailto:privacy@mtdmatch.uk).

**If you claim a listing:** we collect your name, role, work email and phone, your firm’s details and your professional body membership. We use them to confirm you work at the firm – usually by phoning the number on its website or Companies House record – and to update the listing as you asked. Lawful basis: our legitimate interest in keeping listings accurate and making sure only the firm itself can change them. We keep claims for 2 years.

**If you search:** the postcode you type is matched to a rough location inside your browser. It isn’t sent to us or stored.

## Who we share it with

- **Accountancy practices** – matching form only, up to 3, matched to your postcode and needs. Each practice becomes a separate controller of your data once they receive it and must follow UK data protection law. Our lead terms only allow them to use your details to respond to your enquiry.
- **Service providers** who process data for us under contract: Google (Google Workspace – storage of form submissions and email), Cloudflare (website hosting, privacy-friendly visitor statistics and the bot check on our forms) and our email-sending provider.
- **Authorities**, where the law requires it.

We do not sell or rent your data to anyone else, and we never pass it on for other companies' marketing.

## International transfers

Some of our providers (Google, Cloudflare) may process data outside the UK, including in the USA. Where they do, the transfer is protected by the UK International Data Transfer Addendum or the UK–US data bridge.

## Cookies and similar technology

We use no advertising cookies. With your permission only, we use analytics cookies:

- **Google Analytics 4** (Google Ireland Ltd) – which pages are visited, how people arrive and whether forms are completed. Cookies _ga and _ga_*, kept up to 13 months. We do not send your name, email, phone or postcode to Google, and we keep analytics data for 14 months.

They stay off until you choose “Accept analytics” in the cookie banner. Lawful basis: your consent. You can change your mind at any time with “Cookie settings” at the bottom of every page. Your choice is stored in your browser (mtdm-consent-v1), not in a cookie.

Our cookieless visitor count (Cloudflare Web Analytics) does not use cookies or identify you. To stop spam, our forms use Cloudflare Turnstile, which checks your browser for signs of automated activity; this is strictly necessary to protect the forms and does not track you across websites.

## How long we keep it

- Matching enquiries: 24 months from your enquiry, then deleted.
- Guide signups: 24 months after our last contact with you. If you unsubscribe, we keep only your email on a suppression list so we never email you again.
- Records of consent and of who we shared your details with: 6 years, so we can show we acted lawfully.
- Accountant accounts: for as long as the account is open, then 6 years for tax and accounting records.

## Your rights

You have the right to access your data, to have it corrected or deleted, to restrict or object to how we use it, to data portability, and to withdraw consent at any time. Email [privacy@mtdmatch.uk](mailto:privacy@mtdmatch.uk) and we will respond within one month. We will also tell any practice we shared your details with about a correction or deletion.

If you are unhappy with how we have handled your data, please tell us first. You also have the right to complain to the Information Commissioner's Office: [ico.org.uk/make-a-complaint](https://ico.org.uk/make-a-complaint/), 0303 123 1113.

## Changes to this notice

We will update this page if anything changes and show the new date at the top.
